“My Intake Story”- Small firm owner going from receptionists => virtual assistants => Caseflood.ai

“So, when I first started practicing, I prided myself in being like the attorney in the movie Roman J. Israel, who could always be personally accessed by his clients. I bought a vanity phone number with a separate cell - planning to always answer intake and client calls myself directly.

After a few years and many sleepless nights spinning my wheels with people's crisis after crisis (only to realize they’d hire someone else for cheaper after I’ve given them full immediate help and access to free legal advice), I realized that as attorneys, it’s almost never helpful to be emergency relief. We are morning-after service providers to deal with the aftermath of things, at best. And because of that, my business was always going to hurt if I personally took all the calls.

When our nonprofit exploded, and we started to get hundreds of calls a day, that drain on my time became even more vital, as my ability to run a successful legal business determined if people would actually get the help they were asking for, it wasn’t just about income production. So, we hired an intake specialist. We had to train her and fundraise for a full-time salary to handle the calls. That (and other staff) led to needing HR admin support, and my time supervising was just very costly with time and money, but we had to do it.

When I went back into private practice, I tried having an assistant take my calls while training her to support marketing and paralegal tasks. She wasn’t full time, and the intake line became the lowest priority. So, I set up a better voicemail and online intake form. I knew I would miss out on a lot of potential work - but I was intentionally trying to divert people from expecting a ready attorney to give free legal advice to a system of paid consultations. I was just in a place of my practice time that I didn’t want to spend the drain to get the business. But I knew I was missing business by letting calls go to voicemail.

Recently, I got ready to start marketing in big ways, but the one hold up was finding a solution for intake. Training an assistant didn’t work and wasn’t viable for my practice. The virtual live receptionist options are too expensive, aren’t that great at complex intake, and I can’t trust that the person answering will convey the care and values of my firms.
